Case study: ALIPH’s digital transformation towards smart and agile asset management

How Imedia8 helped ALIPH replace its manual image, video and data archiving processes and evolve into a MAM system capable of supporting its ambitious goals

Founded in Geneva in 2017, at ALIPH the mission is unique; it is an international organization and a private Swiss foundation designed to meet the challenge of protecting cultural heritage in conflict and post-conflict areas. If there are conflicts around the world, ALIPH will likely be involved in supporting the reconstruction of culturally significant sites.

ALIPH’s three areas of intervention are: preventive protection to limit the risk of destruction; emergency measures to ensure heritage security; and post-conflict actions to enable local populations to recover their cultural heritage.

Implement intelligent systems

As ALIPH continued to thrive, investments in data migration followed, but it also became increasingly clear that the organization needed to replace its manual image, video and data archiving processes, and evolve into a contemporary system capable of supporting its ambitious goals. This required an operational reorganization alongside the adoption of an automated workflow, encompassing the entire process from data inventory control and asset management to data reporting. While preserving ALIPH’s hard-won reputation for the protection of cultural sites.

The challenge

ALIPH realized that a standard media asset management system was no longer working for them. What they needed was a bespoke combination of an image and video database to create its own collection of shareable assets for its stakeholders. The metadata associated with each asset is specifically unique to ALIPH and therefore they needed software that would meet the niche demands of their partners and investors.

Imedia8’s asset management system was able to meet these needs seamlessly. The ALIPH team, liaising with Imedia8 since 2020, has created a wishlist of requests and requirements for seamless integration. It was during the discovery phase of the project that the Imedia8 team reviewed and edited the software requirements in detail with the ALIPH team, resulting in the creation of a bespoke solution. It was essential that the software included highly secure integrated backup, disaster recovery, monitoring support and maintenance in a simple package that could be installed over a six-week period.

And, with Imedia8’s fifteen years of experience, it was quite easy to take a very complex customization and fit it into ALIPH’s workflows in quicktime.

The result

The installation was completed in unprecedented time. Imedia8’s skills and expertise in the NGO sector contributed to the success of this project, on time and within budget.

Based on Imedia8’s expert understanding of the technology options available, the company was able to provide a cost effective approach to installation, taking into account maintenance, software releases and environmental sustainability through the cloud.

“From day one, Imedia8 understood our needs and made recommendations so that we could get exactly the type of system we needed”, commented Sandra Bialystok, spokesperson for ALIPH, “whether to improve data configuration or to manage an entire AV library on the cloud, they brought a pragmatic approach to our requests and met every challenge with a positive problem-solving attitude.

“For us, Imedia8’s solution was not only necessary, it also improved our internal processes and the way we work with our partners. There are business activities that can only be carried out with paper and old computer systems. This solution developed by Imedia8 means that we now have more time to devote to other projects, knowing that our multimedia assets are easy to access and manage while being stored securely.

Guy Parry-Williams, Founder of Imedia8, commented: “Imedia is delighted to further establish itself in Geneva and bring ALIPH’s important work to life and share vital images, videos and data with its stakeholders. . Each platform we create is unique, it’s about understanding exactly what the customer needs and how we are able to deliver it. Developing our clients’ suite of digital tools as they evolve as an organization is paramount to us. »
